Reports to Chief Executive Officer
​part-time position for an average of 22 hours per week (50% job contract)

Job purpose
The Events, Fundraising, and Logistics coordinator will coordinate the corporate and internal events
for brand awareness and fundraising to establish a strong base of individual and corporate support for
Cycling Without Age Singapore.
 
The EFL coordinator will also promote the aging simulation and other trainings, developed by
the CWA-trainers, to schools, corporates and/or other VWOs.  Coordinate long-term infrastructure, processes and strategies for sustainable fundraising to support Cycling Without Age Singapore in the long-term. The EFL coordinator will have shared responsibility for developing this in collaboration with the Manager PR & Communications.
The EFL coordinator will perform a variety of lead generation tasks, such as (pro-)actively approaching and engaging corporates and organizations that could be interested in partnering with CWA Singapore and following through with securing, coordination and set up of these events.
He/she will also support the coordination of other CWA events such as logistics needed for training
programmes and a range of special events like volunteer appreciation nights.
The exact scope of the job will as well be discussed in conjunction with and overseen by the Manager
PR & Communications together with the CEO. The execution of the events will take place in
collaboration with the whole CWAS team.

Duties and responsibilities
Event management and production services as needed, to include:
  • CSR activities
  • Service related activities with charity partners
  • Fundraising events
  • Training activities including lead generation and training promotion
Logistics Coordination: Organisation of logistics across the various events happening in CWA, spanning the corporate and internal events we organise, including:
  • CSR activities
  • Aging simulation & communication trainings
  • Other training programmes
  • Other events
  • Volunteer engagement programmes
Long-term goal: to professionalize the organization’s fundraising, including donor management, communications and engagement with the corporate sector, and to put a formal development infrastructure in place.

Qualifications
  • Must possess excellent organizational and planning skills
  • Superior project management and time management skills
  • A wide degree of creativity and latitude
  • The ability to develop contacts with various suppliers and negotiate good rates
  • Knowledge of the Singapore fundraising market
  • Must be a confident communicator and presenter
  • Self-motivated with a positive and professional approach and hands-on/ can- do mentality
Please note that all work requests will be consistent with Singapore Law and the terms of the Employment contract.

Working conditions
Work hours will be mainly during weekdays, though some activities or events will be held in the evening or weekends and an ability and flexibility to work at these times is required in this role.

Within these projects, events and trainings you will work with youth and senior, some of them come from difficult or disadvantaged backgrounds, and thus this can bring forth an emotional burden.

There are no specific physical requirements for this job. It is highly recommended that you are also
trained as a trishaw pilot to be able to support the events.

Key Responsibilities:

Digital Engagement
  1. Creation of web marketing initiatives for various email list segments (monthly newsletters, Events Calendar, periodic donor appeals, Membership Bulletin, Shop for a Cause appeals) including campaign design, monitoring, reporting, and analysis
  2. Updation of non-static content on the website (ExCo / staff pages, top news, events, banners) and quarterly review for updating of static content (campaigns, impact, about us, etc)
  3. Promote, actively update and oversee social media to develop momentum for local events and highlight UN Women HQ activities
  4. Develop internal reports for non-technical audiences
  5. Educate staff and serve as internal point of reference to raise digital literacy across organisation

General Communications
  1. Serve as the lead on all copywriting needs both online and offline, including the launch of a new website
  2. Coordinate across departments in the development of integrated communications strategy for advocacy, online/offline fundraisers, branding, and the general work of the organisation
  3. Oversee the creation of all public information content such as Annual Report, informational brochures and leaflets, and display materials such as banners
  4. Manage regular updating of email database
  5. Provide pertinent communications advice and input for organisational leadership

Donor Engagement
  1. Collaborate with the fundraising team on the creation of on boarding strategy of new donors and Members
  2. Create and develop the required marketing material for new donors and members
  3. Draft welcome and retention messages for new Members and donors, in addition to updates on our work, to be sent out periodically

Experience and Core Competencies:
  1. Thorough knowledge and experience in Adobe Photoshop, Illustrator, InDesign and HTML (optional) is a must
  2. 1-3 years of web marketing experience
  3.  Collaborative work style to effectively work on a team of Web and Digital Engagement professionals to deliver high quality digital communications on schedule
  4. Excellent verbal and written communication skills with an ability to write press reports and articles for media
  5. Working knowledge of inbound marketing, including search engine optimization, as well as advertising and analytics tools, Google AdWords and Google Analytics
  6. Excellent Microsoft Excel/Word skills

Proficiency in Tagalog and Bahasa Indonesia would be a bonus. The PD must have strong organisational skills and able to juggle multiple projects and be unfazed with tight deadlines. With Aidha’s increased interest in being more engaged with other likeminded organisations in the region as well as increasing our presence in the international development community, international development experience would be an asset. With the many
financial needs of the foreign domestic worker community the potential to expand Aidha’s offerings is considerable. This role will play a critical role in setting the direction of our programme priorities and providing the needed capacity to achieve them.

Job Description:
Assist the Director, Operations with Administration, Secretarial, Office Management and Finance processing tasks.

Key Responsibilities:
Under the guidance of the Director, Operations, she or he will be working in a fast-pace environment and be responsible for (but not limited to):

Cashiering duties (Once a month)
  1. Oversee and take ownership of the accounting process of outgoing payments and incoming funds,
    working with a third party accounting firm
  2. Process Salaries, Staff Claims, CPF Submissions and Income Tax forms
  3. Reconciliation of bank statements and other accounts
  4. Issue cheques for payments, when needed

  2. Ensure accuracy of revenue tracking reports for the fundraisers

Secretarial (ongoing)
  1. Preparation / coordination of AGM materials, financials, etc.
  2. Obtain signatures from board members for various documents.
  3. File all partnership contracts, vendor contracts, grant agreements and paper trails for audit purposes
    and future reference

Administration (Ongoing)
  1. Issue letters for various purposes e.g. letters of appreciation to volunteers
  2. Membership and Monthly giving administration
  3. Minute taking will be necessary from time to time
  4. Answer and re-direct general email and telephone inquiries to the relevant staff member
  5. Ensure adequate stationery in the office
  6. Check the mailbox and ensure mail is redirected to the correct staff or taken action on by yourself
  7. Ensure equipment in the office is working: telephones, air-con and electrician services, printer toners, handyman and cleaning services
  8. Monitor and process meeting room bookings and to reconcile against invoices
